Let’s discuss: The importance of merging patients and their images correctly

Have you ever found yourself scratching your head over duplicate patient records?

Well, there is no need to scratch your head anymore, let’s discuss how you can master the entire merging process in three simple steps! First, let's talk about responsibility. Merging patients is a big deal, and an irreversible process. That's why only users with Level 3 security access or higher can perform a merge in Dentally.

If you are just beginning your journey with Dentally, to merge patients and their images in your previous practice management system. This ensures the bulk of your duplicate patients will be resolved before they are transferred into your Dentally database. However, we understand this isn’t always feasible, so we have tried to make the process of merging patients as easy and seamless as possible.

Step 1: Determine your patients

When you end up with two of the same patients, you must first choose which one you will keep, we call this the ‘destination patient’. Generally, you will want to pick the patient with the most up-to-date, accurate information. The second patient record will now be your ‘source patient’. After the merge is complete the source patient will be made inactive.

Step 2: Reassign your Images

Before you go ahead and merge the patient records, it’s important to note that any images and x-rays associated with the ‘source patient’ need to be manually moved to the ‘destination patient’.

This step is very important! If you forget to move/reassign patient images to the ‘destination patient’, you are risking having to retake x-rays resulting in a potential patient safety issue due to re-exposure to radiation. This is where Dentally Vision can come in handy!

Dentally Vision allows you to quickly move images from one patient to another with its built-in ‘reassign’ feature, making it easier than ever for you to stay on top of housekeeping.

For those not yet using Dentally Vision, you will have to manually export and import your images from the ‘source patient’ to the ‘destination patient’. This can be time consuming and adds an extra step to the patient merging process, but it is a must do step to ensure an efficient merging process.

Step 3: Complete the patient merge

After moving your images and x-rays to the 'destination patient’ you are now ready to go ahead and complete the merge from the patients record. Remember this is irreversible and cannot be undone so make sure you are 100% sure you have selected the correct patients before continuing.

Once you have merged the patients the ‘source patient’ will now be archived and all information attached including appointments, correspondence and accounts will be moved to the ‘destination patient’.

It’s as simple as 1, 2, 3

  1. Determine both your ‘Destination’ and ‘Source’ patients.
  2. Reassign or reupload your images from the ‘Source’ to the ‘Destination’.
  3. Complete the merge from the patients' records.

Our new sidebar is launching across all practices using Dentally Vision! With a brand-new tab added to your clinical sidebar you can now seamlessly view your images whilst taking notes or checking medical history, without any need to reload them!

Let's delve into some of the benefits of your upgraded sidebar and how it can elevate your daily operations and enrich patient care 🦷💫

Key features

  • Seamless navigation: You can now use the sidebar to view x-rays and images alongside patient records! You can switch between tabs, chart new treatments, and even make notes while still viewing your patients' images.

  • Enhanced filtering: The clinical sidebar not only allows for easy filtering of clinical history, but also offers you the ability to filter your images by image type.

  • Enhanced filtering: For added flexibility, you can open the sidebar in a new browser tab for larger viewing of images, which can come in handy when showing patients their images up close.

  • Customisable resizing: You can resize your sidebar to meet your preference, with the chosen width being saved against your user, removing the need to set this up each time!

  • Automatic closure: To safeguard patient privacy and prevent inadvertent data exposure, the sidebar closes automatically when switching between different patient records.

This introduction of cloud image access within the clinical sidebar not only helps to optimise your workflows, but also offers the ability for you to elevate your efficiency and enhance patient care with easy image and clinical history access across the entire patient record.

This new feature allows you to configure the chart screen to your requirements, with a new settings icon (the cog symbol ⚙️) in the tabs on your chart.

Introducing:

  • ‘Locked Chart’ to help you stay focused - Lets you keep the chart anchored on screen, ensuring it's always in view. Alternatively, unlocking the chart allows you to free up space for more detailed note-taking.
  • ‘Combined chart’ for streamlined efficiency - By using the ‘Combined base and treatment chart’ setting, previously known as ‘Condensed Charting’, you can consolidate the patient's base chart and treatment lines onto the same row, reducing clutter and enhancing readability on your chart screen.
  • ‘Hover Charting’, your customisable assistant - Not only can you enable ‘Hover Charting’ from this menu, but you now have the power to configure which treatments are suggested when you hover over a tooth! You can choose from two different selection options to ensure maximum customisation: Automated and Manual Override.

We understand that as a dentist, efficiency is key – especially when it comes to charting!

Every dentist is different, and here at Dentally we have upgraded the tools at your fingertips to maximise the customisation features available to you.

These updates aim to provide you with more control and clarity than ever before by introducing a new settings icon (cog icon ⚙️) to the tabs on your chart. Your new ‘Charting Preferences’ screen offers a trove of options to suit your specific needs without affecting anyone else using the platform.

📝 Please note: these features will be rolling out across practices, week commencing Monday 6th May. So if you cannot see these settings yet, please don't worry, you will soon!

‘Locked Chart’ to help you stay focused

The ‘Locked Chart’ feature lets you keep the chart anchored on screen, ensuring it's always in view. Alternatively, unlocking the chart allows you to free up space for more detailed note-taking.

‘Combined chart’ for streamlined efficiency

By using the ‘Combined base and treatment chart’ setting, previously known as ‘Condensed Charting’, you can consolidate the patient's base chart and treatment lines onto the same row, reducing clutter and enhancing readability on your chart screen.

‘Hover Charting’ your customisable assistant

One of the standout updates of this release is the revamped ‘Hover Charting’ functionality. Not only can you enable ‘Hover Charting’ from this menu, but you now have the power to configure which treatments are suggested when you hover over a tooth!

You can choose from two different selection options to ensure maximum customisation:

  • Automated: Dentally intelligently suggests the treatments most commonly charted by you, saving you time and streamlining your workflow. It takes time for Dentally to learn your charting habits and these suggestions can change depending on what you are charting most frequently.
  • 🆕 Manual Override: Take full control by individually selecting which treatments appear and in what order, ensuring efficiency and predictability in your workflow.

Now is the perfect time to explore these new features and make them work for you. Experiment with the settings, discover new efficiencies, and let Dentally transform the way you approach charting. Simply navigate to a patient's chart and select the new 'Chart Preferences’ icon ⚙️

🌟 Linking appointments just got easier! 🗓️

The new 'Link Appointment' button is designed to streamline your workflow and can now be done directly from a treatment plan.

With this improved feature, users can now click the 'Link Appointment' button on the patient chart to access a list of suitable calendar appointments, eliminating the need for navigating between tabs. Find out more about this new small but mighty button here!

🌟 NHS updates 🇬🇧

NHS CCN63 came into effect on 1st April 2024, bringing with it changes to the 'NHS Practitioner settings', which you can read more about here. Plus, we've pushed through the new patient fees for NHS England & Wales for the new financial year - NHS fees will always update automatically, so you don't need to do a thing!

It's easier than ever to track acquisition sources for new patients with Portal! 🚀

In order to grow your business, it's essential to keep an eye on where patients are coming from, and what's attracting them to your practice.

With acquisition sources, patients can let you know how they heard about you, so you can identify which marketing channels are most effective. And with Dentally Portal, it's now easier than ever!

You might already be inputting acquisition source data manually, but traditionally this can be time-consuming and difficult to navigate. With our new feature for Dentally Portal users, patients can now select their own acquisition source when they sign up for your practice via Dentally Portal.

If you're a Portal user, you can mark acquisition sources to be visible in Portal - once you do, it'll show up for patients to choose on Portal:

So why gather patients' acquisition sources through Portal?

  • Save time while gathering accurate data: setting sources up to show in Portal will take you minutes, and patients can provide the info with just one click! Portal takes all the hassle out, so that you can gather useful data more quickly, and focus your energy on other parts of your business.
  • Decide what's worth spending your money on: the more data you have to work with, the better! If you can see that more patients are coming to you from a feature in a regional newspaper than from a local bus advert, you can make an informed decision on which advert is worth paying for in the future.
  • Analyse sources within a particular timeframe: if you've recently run a campaign that lasted one month, you can filter your reporting down to that specific month to see if there was any increase, and compare it to a similar campaign you ran the year before.

You'll save time and learn more about how you're attracting patients - so you can improve your practice's growth through optimising your marketing strategies and allocating your resources more effectively.

But keep in mind! In order to benefit from this brilliant new feature, you'll need to make some changes in Dentally to link this feature with Portal.

Have you seen the new personal treatment plan templates function?

A recent update to treatment plan templates enhances your user experience and efficiency with the ability to create personal treatment plan templates 🎉

Previously, treatment plan templates were uniform across the practice, leading to a long list which every clinician had access to, often resulting in accidental deletions and unwanted clutter.

But with our new feature, it couldn't be smoother! When you save a treatment plan template going forward, you will be prompted to choose whether you want it to be personal. This means that only the user who created the template can view and access it, and ensures that each practitioner has access to their preferred templates without interference. Please note 💡 - all treatment plan templates that existed prior to the change in April 2024 will be marked as shared.

You can utilise the 'Favourites' ⭐️ feature to keep your preferred templates readily accessible; by pinning favourites to the top of your list via the menu button, or by simply viewing the 'Favourites' category, you can quickly and easily find your desired plans.

Why should I be using treatment plan templates?

Treatment plan templates offer a streamlined solution for charting multiple treatments and appointments for patients with just a single click, significantly reducing the time required for documenting complex and lengthy treatment plans.

This efficiency not only enhances productivity but also allows practitioners to allocate more time to patient care. The utilisation of templates ensures consistency within the practice, because standardised procedures can be added as practice-wide templates for everyone to use.

By adopting treatment plan templates, practices can optimise workflows, minimise errors, and provide a consistent level of care, ultimately leading to improved patient outcomes and satisfaction. Level up your imaging: the 'Radiograph Audit' can now report on Dentally Vision images! 🚀

In the ever-evolving world of dentistry, staying at the forefront of the latest technology enhancements can make delivering exceptional patient care simpler and smoother than ever. That's where Dentally Vision comes in!

As part of the latest update to Dentally Vision, we have introduced new features for phosphor plate image capture as well as new ways to recover images and resume exams. Today, we want to focus on the enhancements made to your 'Radiograph Audit' report.

Images acquired and uploaded through Dentally Vision and saved in your Cloud Gallery can now be reported on directly through your 'Radiograph Audit' report within Dentally. Simply change the 'Source' filter to 'Dentally Vision' to report on those images instead! You will be able to seamlessly report on all your images in one report, resulting in less admin time and more time dedicated to your patients 🦷✨

You may also notice that the report has had a bit of a makeover; a new refined layout with greater detail has been introduced, for a more pleasing reporting experience. You will see the percentage bar is still present across the top of the report, however a detailed breakdown has been added underneath for advanced reporting capabilities.

Say hello to our latest game-changing enhancement, which has made linking appointments smoother than ever!

The new 'Link Appointment' button is designed to streamline your workflow and will be rolling out across all sites over the coming weeks.

This small but mighty button (which looks like a small link or chain 🔗) is found on the patient's chart screen. It is located on the right side of the screen, next to each appointment. See below 👇

This new button aims to simplify the process of linking appointments, meaning streamlined workflows for both reception and clinical users!

Linking appointments is not only the best practice when it comes to housekeeping but it also has a host of other benefits, such as:

  • Clarity for administrative staff: provides administrative staff with clear information on requested appointments, facilitating smoother booking workflows.

Dentally Vision's latest update is now LIVE - including new phosphor plate imaging capabilities!

We are excited to announce Dentally Vision's biggest update so far, which includes the much-awaited ability to capture and stack additional phosphor plate images! 🚀

In this update, we are delivering you a range of new features aimed at simplifying your workflow and empowering your practice through useful tools and advanced reporting capabilities.

To benefit from these new features as soon as possible, you MUST update your acquisition agent. To do this, please follow the instructions in the dedicated help guide here 👉 How to check for Dentally Vision updates?

The biggest highlight of this update is the ability to capture and stack additional phosphor plate images through the Dentally Vision workflow ⭐️ But the changes do not end there! Other new features include:

  • Stackable images: Now, you can create stacks of images when acquiring a phosphor plate. This means when you capture more than one image of the same tooth, you can simply drag and drop them all onto the same spot of a template to upload all of the images instead of just one! This makes for easier viewing and comparison, resulting in better analysis and diagnosis.
  • Undelete functionality: Never worry about accidentally deleting important images when capturing a phosphor plate exam. Dentally Vision now enables you to undelete images you have previously deleted, ensuring that valuable patient data is always retrievable. (Please note that this function is specific to phosphor plate image capturing).
  • Recovering images: Images left unused in the 'Scanned Images' section of the acquire screen can now be sent to recovery. This means the next time you open the patient in Dentally Vision, you will see the recovered images waiting in 'Scanned Images' for you to use.
  • Resume exams with recovered images: Should you ever need to pause the acquisition process, Dentally Vision now allows you to seamlessly use your recovered images when resuming procedures at a later date. This feature ensures continuity of care without the hassle of reacquiring images.
