Hover Charting just got better!

Our goal has always been to provide a seamless and user-friendly experience, and with your valuable feedback, we've made some tweaks to how hover charting functions so you can fully benefit from this carting shortcut!

🚀 What's New?

We've improved how Hover Charting displays information. While the core functionality remains the same, it's now more responsive and less intrusive on your screen.

⏩ Faster Display of Important Information

No more waiting weeks! We've optimised Hover Charting to start showing your most commonly charted items right away.

It learns from your usage patterns and adds treatments as soon as you chart them. This way, you can quickly familiarise yourself with how things appear, making the entire process more intuitive.

🎉 Default Activation for New Users

To ensure a smoother onboarding experience, we've made Hover Charting the default setting for new users. This means that from the moment you join Dentally, you'll experience the benefits without having to activate it later in your user journey.

🔄 Dynamic Sorting for Improved User Experience

Continually over time, Hover Charting will intelligently sort your list based on the most used treatments. This personalised touch ensures that the information most relevant to you is readily available.

Edit your calendars with ease!

Amend a practitioner’s availability straight from your diary… even on days when they are usually closed!

With your new 'overrides' feature, you can easily adjust a practitioner's working hours on any given day. No more blocking out time with fake appointments or struggling with rigid schedules.

With a simple click on the practitioner's name in the ‘Single Day’ view or their initials in the ‘Multiday’ view, you can effortlessly make a practitioner available or unavailable for the day. You can also amend their start and finish times, giving you ultimate flexibility in managing your appointments.

Combine overrides with a schedule for even easier rota management. Set up a regular schedule for your practitioners via the Diary Settings and then use the new overrides function to make amendments as and when needed.

With the new View Closed Days feature, you can display the days the practice/practitioner is closed without changing your practice opening times. Making opening your closed diary easier than ever! Next time you need to book an emergency appointment on a closed day or amend the availability of a practitioner who has decided to work a day as a one-off, you can do this straight from your calendar!

To view your closed days, simply select the ‘Closed Days’ option within the ‘Change View’ settings. This enables you to see all the closed days in the Single Day View and incorporates them into the Multiday View as well. This flexibility allows for streamlined appointment management and better adaptation of your Dentally calendar to unique situations.

We cannot wait for you to experience this new feature, it is being enabled gradually across all sites, so if you don’t see it now you will soon!

Dentally Portal now integrates with Google Pay!

We are thrilled to announce the introduction of Google Pay for Dentally Portal customers as a recognised payment method for both appointment deposits and balance payments.

This option will be available to all patients, requiring no additional actions or changes from practices, Making patient transactions even more convenient!

With the surge in popularity of digital wallets and contactless payment methods, integrating with Google Pay is another step towards our vision of a fully digitalised, convenient and exceptional patient experience.

How will your patients benefit from this new integration?

  • Hassle-free Setup: The new payment option requires no additional steps from the patient's side. It will be automatically available to all.
  • Fast & Secure: Google Pay offers a rapid, secure method to process payments without the need to manually key in card details every time.

We are thrilled to introduce the first phase of our exciting transformation of the clinical charting section in Dentally. These minor cosmetic changes mark the beginning of a comprehensive redesign aimed at simplifying and streamlining the way you plan treatments.

What's New in the Treatment Planning Screen?

You'll notice a bit of a facelift to the user interface on your patients chart screen, aimed to make treatment planning in Dentally a smoother, more efficient process.

These changes have been designed with your help and should grant you quicker and more comprehensive access to all the essential tools required to build effective treatment plans.

Key Changes You Should Know About

Improved Visibility

Appointment details and status are now grouped together in the top right of your treatment plan to provide you with a better understanding of your patients treatment journey.

Reducing Errors

We've repositioned the ‘delete’ and ‘clipboard’ appointment options to minimise the risk of accidental deletions or alterations. Your appointments are safe and secure!

Clearer Treatment Options

Expanding treatments to view notes and change options has been made clearer more straightforward, so you have a precise understanding of charted procedures and their details. We want you to be able to navigate with ease and focus instead on providing optimal care.

What's Next?

Important NHS Scotland Dental Reform Changes - 1st November 2023

Starting November 1, 2023, the NHS is rolling out a new Statement of Dental Remuneration (SDR) that promises to make a big difference in how dentists work.

These changes focus on giving dentists more clinical freedom under a high-trust, low-bureaucracy governance system designed to help dentists and patients.

So, what can you expect?

We will break down these changes and explain how they affect dentists, patients, and healthcare in Scotland. This new SDR hosts a lot of changes so we want to highlight as many of them for you ahead of time.

Key Highlights:

  • Re-configuration of all treatment items, including new formatting of item codes. Read more below.
  • All treatment items are available to all patient types regardless of registration status.
  • All treatment items are available to all patient's ages except where excluded explicitly in the item description.
  • The new codes for NHS fillings are simplified, meaning there is now one code for a single surface filling, one for a 2-surface filling and one for 3 or more surfaces. Discover more about this over on our help centre here.
  • The orthodontic treatment structures remain, with only a tiny amendment to discretionary fee items.
  • The retained Orthodontic codes from previous SDRs will remain using their original 32XX codes.
  • Discretionary fees under item 38/39 for general treatment are no longer available. Item 39 is relabelled as a balance fee item.
  • Treatment rules, e.g., time-barred items, are restricted to only items in the new SDR; there is no reference to historical items.
  • Rules relating to treatment available on specific teeth will remain as is currently e.g. where a tooth has been extracted, we will validate that other treatments cannot be claimed.
  • Registration payments will be based on a single rate and no longer on age or when the patient last attended.
  • The prior approval process will remain, but the Prior Approval limit has been raised to £600.
  • The patient charging model will remain as a percentage of the Item feed, with the patient charge cap remaining at £384.

What does this mean in Dentally?

The available NHS treatment codes will be updated to include the new codes that have been added to the SDR.

All treatment codes available on the previous SDR will remain in place on plans started on or before 1/11/2023. As before, with previous SDR changes, any codes no longer appropriate for the SDR in effect will be indicated by the red error symbol and not included in the NHS claim.

The new SDR codes comprise a new numbering system with a letter prefix to the new codes. These are collated in groups based on the services provided:

When it comes to charting these codes in Dentally, all the new SDR codes will be added to a new Treatment Category labelled "NHS DENTAL REFORM". These codes can be added or moved to other categories as individual users see fit.

All pre-existing SDR codes will remain active in Dentally so you can easily clear open courses of treatment. Where practices no longer require these previous SDR codes, we recommend marking them Inactive in your Treatment Settings.

New Incomplete Treatment Workflow for Easier NHS Claim Management

Calling all NHS Practice in England and Wales, handling your incomplete NHS Claims is now smoother and quicker than ever! We have been hard at work creating a brand-new workflow.

This specific functionality will be used when a patient fails to return for an NHS course of treatment, and will be coming to your practice soon!

This new process has removed the manual steps you previously had to take when sending an incomplete claim, and all the information is now processed directly from the claims screen in Dentally.

Now when sending an incomplete claim all you need to do is click the ‘Submit Claim’ button and fill out the ‘Band claimed for incomplete treatment’ section on the NHS claim form before completing and sending the claim to the NHS.

Your Updated Payment Allocation Process in Dentally Portal

We're always working to improve your experience with Dentally. With that in mind, we'd like to introduce an important update regarding how Dentally Portal payments are allocated to invoices. Taking effect on Wednesday 11th October 2023.

What's changing?

Previously, all payments were automatically allocated to a blank note. This meant that to assign a payment to an actual invoice, you previously had to:

  • Un-allocate the payment from the blank note.
  • Re-allocate the payment to the appropriate invoice.

Now, the payment service will no longer auto-allocate to a blank note. Instead, it will respect and follow the allocation settings you've already established within Dentally. This will streamline the payment allocation process, reducing the manual steps you used to take making it more efficient.

Benefits of the new process:

  • Reduced manual tasks, no need to un-allocate and re-allocate payments.
  • Time savings, with fewer steps, the process is quicker and more efficient than ever.
  • Fewer errors, automatic allocations based on your settings means a reduced chance of mistakenly allocating payments.

What do you need to do?

Review your Allocation Settings: Before this change takes effect, please take a moment to ensure that your allocation settings in Dentally are correctly set up. This will ensure that payments are directed to the appropriate invoices as per your preferences.

Update your team: Inform all team members who deal with payments and invoices about this change. This will ensure consistency and understanding across the board.

Familiarise yourself with the new process: We've updated our documentation to reflect these changes. Spend some time familiarising yourself with the new process to ensure a smooth transition. Documentation for how Dentally allocates payments can be found here.

Medical History Link Update!

We are enhancing the way that medical history links are presented to patients in Dentally. These changes will take effect by the end of September 2023.

The redesign adds further security for patients when accessing sensitive information online whilst offering a more simplified, user-friendly experience. Here’s what you can expect from this change...

Identity Confirmation
We understand the importance of safeguarding patient data, and we want to make this as easy for you as possible. To enter or update their medical history data, patients must first confirm their identity by entering their date of birth. This step ensures that only authorised, authenticated individuals can access and modify their medical records.

One-Question-at-a-Time Format
We have also revamped the user interface for filling out medical history forms through both Medical Links in Dentally and directly through Dentally Portal. The new form now utilises a one-question-at-a-time format, aligning with best practice design guidelines to ensure a simple and more user-friendly interface for the patient (and a little less overwhelming!)

This approach has been designed following detailed testing of various layouts. In our research, we found that the one-question-at-a-time format significantly boosts completion rates, with an impressive 95% of patients successfully submitting their medical histories. This saves you time and reduces errors, so you can trust the accuracy of your patient's medical information.

We will continue to undertake optimisation tests and will make refinements as we see more patients use the new interface.
